The mailing of proxy materials is scheduled and completed with your critical milestones in mind. We feature capabilities such as "household" proxy cards, postage stratification, and advanced sorting capabilities to help optimize the distribution process, increase efficiencies, and reduce mailing expenses. For an even more cost-effective solution, we also offer electronic distribution. Shareholders can conveniently review all annual and special meeting materials, including annual reports and proxy statements, online prior to casting their vote. They may also elect to opt “in” or “out” of mailed copies for future votes, further reducing your printing and shipping costs.
To help ensure that all shareholders who hold shares registered in broker or nominee names receive the necessary proxy materials in compliance with SEC regulations, we also offer broker distribution management. This service aggregates materials counts from brokers in order to efficiently supply the materials they need to share with their investors. Voting & Tabulation
Your shareholders are voting on important issues and the rapid and accurate tabulation of votes is vital. To expedite the tabulation process, EQ offers three methods of voting:
Vote Online: Our proprietary proxy voting portal allows shareholders to review nominees' names and proposal texts exactly as they appear on the proxy card. Email acknowledgement of the vote allows us to create an electronic address book of your shareholders for future distributions of material via e-mail, resulting in significant savings in printing and mailing costs.
Vote By Phone: IVR technology allows the shareholder to vote using a touch-tone telephone. It is a faster, more convenient alternative to the conventional method of mailing a card.
Vote By Mail: For shareholders who prefer paper ballots, our mail services will collect and tabulate proxy cards.
For companies with multiple positions, EQ is able to customize a single card enabling shareholders to vote on all positions at once.
